Currently we are looking for a Travel & Design Coordinator to join the dynamic team. As one, you will be responsible for planning, booking, and managing all company-related travel, both locally and internationally, in a cost-effective, efficient, and employee-friendly manner. The role ensures a smooth travel experience while maintaining compliance with company policies, budgets, and internal procedures.
In addition, this position provides high-quality coordination and administrative support to the Head of Design and a design team of nine members. Responsibilities include supporting day-to-day operations, scheduling, communication, and preparation of monthly reports to ensure the team operates smoothly and efficiently.
Responsibilities:
Plan, coordinate and book domestic and international travel for employees and leadership
Arrange flights, accommodation, ground transportation and related travel services across multiple destinations and time zones.
Manage changes, cancellations and last-minute travel requests efficiently
Monitor travel budgets and identify cost-saving opportunities
Ensure compliance with company travel policies and approval workflows.
Liaise with travel providers, airlines, hotels and taxi services as needed.
Track travel schedules and maintain accurate records of bookings, confirmations and costs.
Act as the main point of contact for the design team regarding new tasks, including negotiating deadlines and priorities
Monitor and manage incoming requests via Teamwork and the Design mailbox
Delegate tasks to appropriate team members based on requirements, deadlines and individual workload
Maintain up-to-date task lists and team schedules to ensure clear visibility and planning
Create new tasks in Teamwork when needed to support workflow and tracking
Prepare monthly time and task reports
Send quarterly customer feedback surveys to assess satisfaction and success and compile reports based on collected data
Requirements:
At least 1 year of proven experience in travel coordination, administration, or operations
Strong organizational skills and attention to detail
Experience using travel booking systems and online platforms
Excellent communication and interpersonal skills
Ability to manage multiple requests and work under time pressure
Service-oriented mindset with strong problem-solving abilities
Able to work independently and proactively anticipate needs.
